US guests in Tuscany: shuttle quote is bigger than the welcome dinner

We have guests staying in three villages. The transfer quote feels high, but asking everyone to drive after dinner sounds worse.

The best reply split the shuttle into two waves and one emergency taxi budget. It did not make transport cheap, but it made the plan feel controlled.

I would ask first for three comparable options with the same guest count, same date window and same service level. Without that, every supplier answers a different question and the budget becomes impossible to read. In this thread, "US guests in Tuscany: shuttle quote is bigger than the welcome dinner" is the line I would use so the supplier understands the problem quickly.

Author update: I am asking for the same scenario in writing, with guests, hours and extras, before paying the next instalment. In this thread, "US guests in Tuscany: shuttle quote is bigger than the welcome dinner" is the line I would use so the supplier understands the problem quickly.

For a destination wedding, check day-of coordination, transport, rain plan and payment milestones. It is risk management, not only aesthetics. I would keep this question open until the supplier replies in writing, because the small unclear line is usually the expensive one. This is my check 1 for "US guests in Tuscany: shuttle quote is bigger than the welcome dinner", so the replies stay on the real case rather than a generic Italy event.

When a price says "starting from", ask for three scenarios: minimum realistic, recommended and complete. That shows where the final total can land. For this specific thread, I would write "US guests in Tuscany: shuttle quote is bigger than the welcome dinner" at the top of the supplier recap so everyone answers the same case. This is my check 2 for "US guests in Tuscany: shuttle quote is bigger than the welcome dinner", so the replies stay on the real case rather than a generic Italy event.

For flowers, photo or planning, ask how many revisions or supplier meetings are included. Limits often appear there. Because the event is in Chianti, Tuscany, I would also ask who is reachable on the day, not only who sends the quote. This is my check 3 for "US guests in Tuscany: shuttle quote is bigger than the welcome dinner", so the replies stay on the real case rather than a generic Italy event.

I would ask for a simple included/excluded table with VAT, time limits and cancellation terms. With EUR 3,800 transfers, the quote should be readable without chasing calls. With EUR 3,800 transfers, the useful comparison is the calm one: same hours, same guests, same responsibilities. This is my check 4 for "US guests in Tuscany: shuttle quote is bigger than the welcome dinner", so the replies stay on the real case rather than a generic Italy event.

Compare only quotes with the same guest count and the same service hours. If one supplier counts five hours and another counts eight, the total is not really comparable. I would keep this question open until the supplier replies in writing, because the small unclear line is usually the expensive one. This is my check 5 for "US guests in Tuscany: shuttle quote is bigger than the welcome dinner", so the replies stay on the real case rather than a generic Italy event.

I would not negotiate before understanding the vague lines. First close what can still move; then decide whether to remove something or look elsewhere. For this specific thread, I would write "US guests in Tuscany: shuttle quote is bigger than the welcome dinner" at the top of the supplier recap so everyone answers the same case. This is my check 6 for "US guests in Tuscany: shuttle quote is bigger than the welcome dinner", so the replies stay on the real case rather than a generic Italy event.

Ask who will physically be there on the event day in Chianti, Tuscany. The person selling the service is not always the person solving problems on site. Because the event is in Chianti, Tuscany, I would also ask who is reachable on the day, not only who sends the quote. This is my check 7 for "US guests in Tuscany: shuttle quote is bigger than the welcome dinner", so the replies stay on the real case rather than a generic Italy event.
