We are planning from abroad and the supplier includes buffet, two hot dishes, cake service and four staff members. The number is EUR 96 per guest, but drinks and late clearing are written in a separate paragraph.

To compare properly, split food, staff, rentals, drinks, transport and late-night service. For private dinner, a cheap menu can stop being cheap if glassware, staff after midnight or setup are outside the line items. In this thread, "Rome caterer says drinks are separate: does EUR 96 per guest still work" is the line I would use so the supplier understands the problem quickly.

Quick update: I am asking for menu, drinks, staff, transport and cleaning as separate lines. In Rome, Lazio, the question is less "is it expensive?" and more "what can still be added later?". In this thread, "Rome caterer says drinks are separate: does EUR 96 per guest still work" is the line I would use so the supplier understands the problem quickly.

I would not negotiate before understanding the vague lines. First close what can still move; then decide whether to remove something or look elsewhere.
