The community suggested asking for an included/excluded version of the villa rental quote, with time limits and the unclear point on security, parking and bad weather setup remain unclear. The goal was to close the vague parts before signing.

I would ask first for the exact end time, cleaning window, security hours and what changes if music finishes earlier before signing. In a similar Italy case, the real difference appeared when they checked venue timing, not just the rental fee, in Florence, Tuscany with a EUR 6,200 budget. In this thread, "EUR 6,200 for a 40th birthday venue: what would you ask before blocking it" is the line I would use so the supplier understands the problem quickly.

I am not choosing from the photos alone anymore. I will ask for the rain plan, loading hours, cleaning rules and noise limits before moving forward. In this thread, "EUR 6,200 for a 40th birthday venue: what would you ask before blocking it" is the line I would use so the supplier understands the problem quickly.

I would ask for a simple included/excluded table with VAT, time limits and cancellation terms. With EUR 6,200, the quote should be readable without chasing calls. I would keep this question open until the supplier replies in writing, because the small unclear line is usually the expensive one. This is my check 1 for "EUR 6,200 for a 40th birthday venue: what would you ask before blocking it", so the replies stay on the real case rather than a generic Italy event.

Compare only quotes with the same guest count and the same service hours. If one supplier counts five hours and another counts eight, the total is not really comparable. For this specific thread, I would write "EUR 6,200 for a 40th birthday venue: what would you ask before blocking it" at the top of the supplier recap so everyone answers the same case. This is my check 2 for "EUR 6,200 for a 40th birthday venue: what would you ask before blocking it", so the replies stay on the real case rather than a generic Italy event.

I would not negotiate before understanding the vague lines. First close what can still move; then decide whether to remove something or look elsewhere. Because the event is in Florence, Tuscany, I would also ask who is reachable on the day, not only who sends the quote. This is my check 3 for "EUR 6,200 for a 40th birthday venue: what would you ask before blocking it", so the replies stay on the real case rather than a generic Italy event.

Ask who will physically be there on the event day in Florence, Tuscany. The person selling the service is not always the person solving problems on site. With EUR 6,200, the useful comparison is the calm one: same hours, same guests, same responsibilities. This is my check 4 for "EUR 6,200 for a 40th birthday venue: what would you ask before blocking it", so the replies stay on the real case rather than a generic Italy event.

For the venue, ask for rain plan, loading hours, cleaning, parking and noise limits. The photo does not show those costs. I would keep this question open until the supplier replies in writing, because the small unclear line is usually the expensive one. This is my check 5 for "EUR 6,200 for a 40th birthday venue: what would you ask before blocking it", so the replies stay on the real case rather than a generic Italy event.
