The community suggested asking for an included/excluded version of the birthday entertainment quote, with time limits and the unclear point on setup space and sound limits are not clear. The goal was to close the vague parts before signing.

I would ask first for three comparable options with the same guest count, same date window and same service level. Without that, every supplier answers a different question and the budget becomes impossible to read. In this thread, "EUR 1,450 for live act plus DJ set: what happens if the room is small" is the line I would use so the supplier understands the problem quickly.

I am going to simplify the format. A party that flows well matters more than a pretty plan that becomes hard to manage during the night. In this thread, "EUR 1,450 for live act plus DJ set: what happens if the room is small" is the line I would use so the supplier understands the problem quickly.

For a private party, check closing, cleaning, bar and security. These lines are visible when everyone wants to enjoy the night. I would keep this question open until the supplier replies in writing, because the small unclear line is usually the expensive one. This is my check 1 for "EUR 1,450 for live act plus DJ set: what happens if the room is small", so the replies stay on the real case rather than a generic Italy event.

If there is entertainment or a show, ask for space, power, sound and setup needs. The price alone is not enough. For this specific thread, I would write "EUR 1,450 for live act plus DJ set: what happens if the room is small" at the top of the supplier recap so everyone answers the same case. This is my check 2 for "EUR 1,450 for live act plus DJ set: what happens if the room is small", so the replies stay on the real case rather than a generic Italy event.

I would write down who handles cake, toast and the final drink round. Because the event is in Naples, Campania, I would also ask who is reachable on the day, not only who sends the quote. This is my check 3 for "EUR 1,450 for live act plus DJ set: what happens if the room is small", so the replies stay on the real case rather than a generic Italy event.

I would ask for a simple included/excluded table with VAT, time limits and cancellation terms. With EUR 1,450, the quote should be readable without chasing calls. With EUR 1,450, the useful comparison is the calm one: same hours, same guests, same responsibilities. This is my check 4 for "EUR 1,450 for live act plus DJ set: what happens if the room is small", so the replies stay on the real case rather than a generic Italy event.

Compare only quotes with the same guest count and the same service hours. If one supplier counts five hours and another counts eight, the total is not really comparable. I would keep this question open until the supplier replies in writing, because the small unclear line is usually the expensive one. This is my check 5 for "EUR 1,450 for live act plus DJ set: what happens if the room is small", so the replies stay on the real case rather than a generic Italy event.

I would not negotiate before understanding the vague lines. First close what can still move; then decide whether to remove something or look elsewhere. For this specific thread, I would write "EUR 1,450 for live act plus DJ set: what happens if the room is small" at the top of the supplier recap so everyone answers the same case. This is my check 6 for "EUR 1,450 for live act plus DJ set: what happens if the room is small", so the replies stay on the real case rather than a generic Italy event.
